Privacy Policy

Back of House Schools is built for school Food Studies departments. We take the privacy of schools, their staff and their students seriously. This policy explains, in plain language, what information we hold and how we look after it.

Information we collect

We keep the smallest amount of information needed to run the service:

• Staff account details — the name, email address and school of staff members who register to use the app. This is used to create accounts, sign people in, and connect them to their school.
• School operational data — the information your department enters to run the tool: class codes, timetables, recipes, cookbooks, ordering details, event plans, and class sizes.
• Dietary requirements — recorded as counts and categories per class (for example, "3 vegetarian"), never linked to a named student.
• Feedback and enquiries — if you contact us or submit feedback, we keep what you send so we can respond and improve the app.

Information we do not collect

We deliberately keep students out of the system. The app holds no student names, no student contact details, and no individual student records. There is no sensitive student information stored, which removes a major data-handling burden for your school.

How we use information

We use the information above only to:

• Provide and operate the app for your school;
• Create and manage staff accounts and access;
• Keep your department's data separated and secure from other schools;
• Respond to your feedback and enquiries;
• Improve the reliability and features of the service.

We do not sell your information, and we do not use it for advertising.

Where your data is stored

Your data is stored securely with established cloud infrastructure providers (Supabase for the database and Cloudflare for delivery and security). Each school's data is isolated so that staff at one school cannot see another school's information. Access is controlled through secure, role-based logins.

Data security

We use industry-standard measures to protect your information, including encrypted connections, access controls, and regular backups. While no online service can guarantee absolute security, we take reasonable steps to safeguard the data entrusted to us.

Data retention

We keep your school's data for as long as your account is active. If your school leaves the service, we can remove your data on request. Backups are retained for a limited period to allow recovery in the event of a problem.

Your choices

Schools and staff can request to access, correct, or delete their information at any time by contacting us. As we hold no student personal data, there is nothing student-related to access or delete.

Changes to this policy

We may update this policy as the service develops. Any significant changes will be reflected here with an updated date.
